Notion offers a host of features for businesses to streamline their day-to-day work. We’ve tried the app first-hand, and here are some of Notion’s standout features.
Templates
Notion has among the most templates, and we were impressed with the variety. It offers 10,000+ templates from categories like CRM, website building, goal tracker, and much more.
We found 1,200+ project management templates alone, with pre-built boards like product roadmaps, sales pipelines, issue trackers, and weekly planners, amongst ample more.
This template library is neatly organized into various sections— so we found it really easy to find what we were looking for during our Notion review.
In contrast, competitors like ClickUp and Asana offer only 1,000+ and 500+ templates, respectively. Notion’s library is easily one of the largest if you’re after a quick start for numerous project types.
Blocks
Notion’s biggest advantage is its customization—you can build something as simple as a sales tracker or as complex as an engineering roadmap with Notion’s Blocks.
Each block is a different type of content—text, image, calendar — the options are endless. Hit the “/” button on an empty Notion page, and you’ll get a drop-down list of all kinds of blocks you can add.
Basic blocks include headings, to-do lists, and bulleted and numbered lists. Media such as images, videos, audio, and files can also be uploaded on the page.
You can even add code snippets, which is a great plus if your line of work involves regular coding. We also liked the sheer number of options when it came to database management.
For this, you get table, board, Gantt, gallery, and calendar views, among others, which we found valuable if you’re looking to track your team’s progress or for resource and workload management.
The best thing is that each of these blocks can be moved around the page to design it the way you like.
Wikis
Several project management tools allow you to build detailed databases, but only Notion allows you to build Wikis — A central repository of all company information, including:
- Company Policies
- Company guidelines, and
- Employee benefit terms
This is beneficial for small companies that don’t use a dedicated Human Resource Management System but wish to organize their work structure.
Create a blank workspace on Notion and keep adding sub-pages in it for each piece of information you want to add. Each sub-page can then be customized by adding as many Blocks as you want.
Now comes the best part—you can publish this page (or any Notion page) on the web. Click on the “Share” button in the top-right, and click “Publish“.
The page is now available on the internet, just like a regular website. Moreover, any changes you make on a published Notion page are instantly reflected on the web page.
This unique feature comes in clutch when you want to advertise a job opening, share company brochures, publish employee COPs, and the like.
Notion AI
We found that Notion AI made using the app far more convenient. Just hit the space bar on any blank Notion page to open an AI prompt box.
There are ample things you can do with it—summarize texts, translate pages, or fix grammatical errors, for example. Our favorite AI function was the “Find Action Items“.
With this, let’s say you’ve conducted a team meeting and taken notes on Notion. These notes are often messy, and it takes time to organize them. With Notion AI, you can do it in a matter of seconds.
First, use the summarize prompt to generate a summary of the meeting. Then, click on “Find Action Items” to generate a to-do list of all actions you need to take as per discussions in the meeting.
Next, say you’re tracking the status of your team’s work on a board, and you want to know which tasks are due today. Instead of doing it manually by filtering data, simply ask Notion AI.
Within seconds, you’ll have a list of those tasks — and these are just a few examples of how you can use Notion AI—the possibilities are endless. AI in project management will catapult this industry, so this is a major advantage of using Notion.
Notion Integrations
Plus, you also have the option to connect to apps that aren’t on the list through Zapier—an automation tool that lets you integrate various apps and services.
Notion is on par with ClickUp in this respect, which offers 100+ integrations (excluding Zapier-powered integrations). However, we found more time-tracking software integrations in ClickUp.
This includes the likes of Timely, Clockify, and Tmetric. As a project management tool, though, we felt Notion would benefit from a few of these. However, you have Zapier, so that’s good.
On the other hand, Notion falls behind when compared to Asana, which offers 1,000+ third-party integrations (including 100+ on its free plan), and that doesn’t include the Zapier integrations.
However, integrations like Salesforce, Tableau, and Power BI are reserved for higher-tier plans, and it’s worth noting that Asana‘s advanced plan is 67% more expensive than Notion’s.
Overall, whether this is enough or not really depends on your specific needs.
Notion Customer Reviews
Notion has garnered some excellent reviews online—4.7 stars on G2 from 5,058 reviews, 81% of which are 5-star reviews. On Capterra, it has 4.8 stars based on 2,098 reviews.
This speaks volumes about Notion’s usability. Users highlight how they can build anything they want from a blank page—a dedicated CRM database, project management datasheet, or goal tracker tool.
Apart from business, Notion can also be used for personal purposes—think about everyday to-do lists, grocery lists, monthly budgets, and running notes.
It’s truly a comprehensive app, which is why it’s rated so highly. However, people have also pointed out that Notion, believe it or not, has a steep learning curve.
We found this to be true in our own research as well, but we also found ample guides online. Plus, we’d argue that it’s easier to use compared to platforms with more functionality, like ClickUp.
What is Notion Good for?
Its lack of workflow management tools and reporting, for example, means it’s not the best choice for everybody. We’d highly recommend trying the free version before deciding.
That said, although it lacks in terms of some features, where other tools offer 500-1500 templates, Notion has 1,200+ project management templates alone, which simplifies just about every task.
You can also add and organize various blocks on a blank page to build work trackers, company wikis, documents, and pretty much anything you can think of.

Notion vs Obsidian
Notion and Obsidian are similar in how they operate. However, while both offer ample templates, we found Obsidian’s to be better for those focused on automation.
That said, if you’re big on data presentations, Notion is the way to go, and Notion is better for collaboration. You can have shared workspaces, leave comments, and mention other users in real-time.
Sharing is also easier on Notion—simply type the recipient’s email in the “Send Invite” bar. All notes and boards on Notion are stored on the provider’s server, too.
So, pick Notion if you want your data stored in the cloud, as Obsidian stores all your data locally on your device — meaning you don’t have to worry about losing your data to theft/server issues.
Notion vs Asana
Both Notion and Asana offer a free plan, but if your work involves handling documents regularly, we recommend Asana since it allows uploads up to 100MB uploads compared to Notion’s 5MB uploads.
If you need AI functions while managing team performance, then Asana is best for this, too, as the $10.99/month price point includes AI features, whereas Notion AI is an added, separate $8/user/month.
That said, if the free Notion plan is enough and you want to add AI capabilities, then Notion is the cheaper option. The Notion app is also a better option in terms of customizability.
You can build boards from scratch, and you’ll get a whopping 10,000+ pre-built templates, too, whereas Asana only offers 500+.

Notion vs ClickUp
Notion and ClickUp are closely matched project management platforms, but if you’re on a budget, we’d recommend ClickUp. Its Business plan is $3 cheaper and still offers:
- Time tracking
- Timesheets
- Time estimates, and
- Integrations with several time-tracking apps
Time tracking is an essential part of project management, especially if you have a large team or if you need to bill clients, so ClickUp is the clear choice in this regard.
Much like Notion, ClickUp AI also needs to be purchased separately. However, as we noted above, it’s priced at $5/user/month—$3 cheaper than Notion.
That said, if you’re someone who likes a clutter-free dashboard, go for Notion. It’s easier to publish content for external use, too, and it doubles up as a platform where you can add boards for personal use.
On the contrary, ClickUp is a more team-oriented platform with collaborative features like tagging, reminders, commenting, and activity tracking. We found both have fairly steep learning curves.
